Team Managers:
Every coach, every team, every manager is different. Have a discussion with your coaches at the beginning of the season to discuss expectations. The more duties the Managers perform, the more time the coaches have to coach!
A manager is responsible for both Association and Minnesota District 9 duties. Familiarize yourself with the NHA Handbook and with the District 9 rules and requirements. Follow the link above and obtain access to your team’s web page. Start communicating!
The team manager also fulfills a social coordinator role. Recruit other parents to assist with duties noted below and to assist in ensuring the team has a positive, memory-making season. Post pictures on the webpage, post player Q & As, plan pre-event team dinners, plan team outings to high school games, sledding, etc. Don’t take on everything. Recruit!
Uniforms
Jerseys
- Managers are responsible for distributing team jerseys prior to the first game of the season. Distribute by size, allow second year players to choose first, etc - use your discretion.
- Teams with both home and away jerseys (Squirt/U10 and up) are required to wear the respective home and away socks. NHA does not provide socks.
- Carry one extra set of jerseys (home/away) to every game and tournament. If used, update your roster stickers to reflect which player is using the spare.
- Inform parents that jerseys should be washed inside out and air dried. Jerseys should be transported to/from games on hangers or in garment bags. Jerseys should not be stored in the players' equipment bags.
- Managers will collect jerseys from players at the end of the season. Jerseys should be washed and completely dry before storing. Report any missing jerseys or major damage to the equipment manager.
Warm-Ups
- There is no required warm-up for NHA players. Teams can decide on an individual basis whether to purchase apparel - warm-ups, hats, polo shirts, sweatshirts, etc.
Bantam A Exception
- The Bantam A team is sponsored by the V.F.W. The manager must coordinate the purchase of warm-ups and socks.
Communications
- Managers will post updates, changes, or notices on the team website page.
- Assist coach with any scheduling of games, tournaments, practices, meetings. Squirt/U10 and older teams must have a representative attend the District 9 scheduling meeting.
- Make sure proper notification has occurred for game or practice changes. Players/parents should be responsible for noting schedule changes to the website. If changes occur within 48 hours of an event, you may want to email or text changes to the team.
- Work with Ice Chair and other managers to address schedule changes.
- Notify Ice Chair of any schedule changes as soon as possible but no later than four days before.
- All web changes to scheduled games (i.e. time, opponents, place) must be made by the Ice Chair.
- Obtain approval from the NHA Treasurer before spending any funds to be reimbursed or paid by the Association. Complete and submit the NHA Check Request Form (located under “Documents”) for each payment.
Record Keeping and Score Reporting
- NHA will provide all Managers with a team book. The team book contains the official roster, copies of coach cards, player consent to treat forms and emergency information.
- Assist the Registrar by getting all players and coaches to sign/initial the roster. A copy of the signed roster, once stamped by the District rep, becomes the official roster for the team book.
- Bring the team book to ALL games and tournaments. Managers are required to register teams at tournaments. Books get returned to the registrar at years end.
- Once jersey numbers have been issued, score sheet stickers should be created, kept in the team book. 4 stickers must be provided to the scorers at each game. Stickers must be 2"x4". Contact a prior year manager for the template.
- If you have not received your team book, contact the Registrar.
- Track team Game/Scrimmage/Tournament (GST) and ensure team remains within GST limits.
- Confirm all games with the opposing team manager at least one week prior to each game. This is a District requirement. Contact the manager through their website or simply confirm the information on the opponent’s schedule.
- Keep a copy of the score sheet from every game, including tournament games. Keep these in the team book until the end of the season.
- Assist with reporting scores and results to District 9. Note that District 9 requires notification of game results within 24 hours and requires a certain format.
- Assist with reporting scores and results to the NHA website after each game.
- Request Hat Trick and Zero Award patches from Minnesota Hockey.
Tournaments
Teams hosting a home tournament are allowed one (Association paid) away tournament. Teams without a home tournament are allowed a second Association paid away tournament. Additional away tournaments are allowed if certain conditions are met, see Handbook for details.
- Assist coach with selecting tournaments.
- Manager is responsible for registration of all away tournaments.
- Manager is responsible for collecting gate fees from parents, if applicable.
- Manager is responsible for locating and reserving hotel room blocks for out of town tournaments.
- Request exemption of away tournament games from GST limit (section 3 & 4 NHA handbook) if team votes to play more than their allotment.
- Complete extra-tournament cost worksheet and ensure that 80% of parents agree to additional costs before committing to extra tournaments; submit extra tournament worksheets to Ice Chair once completed.
Volunteer Coordinator
Ice Flooding
- Once the outdoor rink (North Rink) is flooded, each team will be assigned a weeknight to flood the rink. Coordinate a flood schedule and post the schedule on your web page.
Locker Room Attendants
- Coordinate and post a locker room attendant schedule. One non-coach, gender appropriate attendant must be in the team locker room for every practice and game. Every attendant must submit the Confidential Screening Form prior to their first duty.
